This Supplier Guide details all the relevant information with regards to being a Jislaaik Online Shop supplier. 

Overview

Jislaaik lists your selected products on the online shop & advertises via various digital & other marketing methods. 

Our clients purchase products through our online shop, we notify you of that order, you then make/pack the order OR Jislaaik packs the order (depending on where the stock is kept). Depending on the payment arrangement, Jislaaik will make payment to the supplier and send the proof of payment via email. Jislaaik then arranges delivery to the client. 

Here’s a little bit more detail on each part of the process

Listing of Products

Jislaaik holds the right to select which of your products get added onto the online shop. All products listed on the store are aligned with our brand & strategy. 

Order Process

The process is fairly simple for both clients & suppliers. 

For the client: 

  1. The client browses our website and selects which items they would like to purchase by adding the items to their cart
  2. Once they are happy with what they selected, the go and checkout. 
  3. The client needs to follow the onscreen instructions in order to provide their details and make payment
  4. Once payment has been received, the order is placed with the supplier
  5. The item gets made/packaged and delivery to the client is arranged by Jislaaik

For the supplier:

  1. Once a client purchased a product, the supplier is notified via email that they received a new order from Jislaaik
  2. Depending on where the stock is kept:
    1. Stock is kept with Jislaaik:
      1. Jislaaik will package the purchased product/s
    2. Stock is kept with the supplier, the supplier is then required to
      1. make/package the purchased product/s
      2. inform Jislaaik of when (date & time) the item/s will be ready for collection
      3. Print out the waybill and attach it to the package or add into the flyer bag pouch (this is a requirement for the courier to collect and for proper tracking purposes)
      4. Handover the package to the courier
  3. Delivery to the client will be arranged by Jislaaik unless in the event of special arrangements with the supplier
  4. The supplier needs to issue an invoice to Jislaaik to be processed for payment as per agreed upon payment method
  5. Payment is made to the supplier and Jislaaik will provide the supplier with a proof of payment via email
  6. No payment to the supplier will be made without an invoice.
Stock
  1. Send stock to Jislaaik
    1. Jislaaik has the capacity and space to keep and safely store some of your products to ensure faster delivery to our clients. 
    2. Storing products with Jislaaik will require Jislaaik & the supplier to take responsibility for the stock in terms of tracking stock & safety. 
    3. It will be the supplier’s responsibility to ensure that stock is delivered to Jislaaik in a timely and safe manner and that if products are out of stock that it will be replenished as needed
    4. Please note that Jislaaik does not yet make use of official warehousing facilities, but this is in the pipeline and will become mandatory in the future.

  2. Keep stock with the supplier
    1. All stock is kept with the supplier and Jislaaik will arrange a courier to collect from the supplier and deliver to the client/s
Packaging

Jislaaik requires proper packaging to be used at all times to protect the product from damage & theft. 

That being said, please only use what is needed and be conscious about the type of packaging that gets used. We aim to be environmentally conscious and not to use any packaging that is harmful or cannot be reused/recycled. 

Please make use of strong & solid cardboard boxes and ensure that the products are packaged neatly & safely. 

Try not to use any plastic and where possible, try and use second hand items as stuffing – newspaper, shredded paper etc. 

Please ensure that clear date stamped photos are taken of the product right before it gets packaged as well as the item/s inside the package right before it is sealed. For record keeping, please email these photos to [email protected] with the order number in the subject line.

Delivery

Jislaaik makes use of mainly 3 courier services via Uafrica which deliver straight to our clients’ doors. Jislaaik handles all the delivery arrangements. 

We charge 1 fee regardless of how many products are ordered or from how many suppliers an order is placed. We feel that we are charging a fair rate to our clients and we can’t expect them to pay more. 

Should Jislaaik feel that an order is placed with too many suppliers at a time, Jislaaik will make arrangements with each supplier regarding this matter. The commission structure does not accommodate for Jislaaik to pay all of the delivery fees from the various suppliers. 

Arrangements will be made to group some deliveries from the same areas together or for suppliers to help cover the costs. Or perhaps to use a more affordable delivery option where the supplier might be asked to drop off the parcel at a different location. 

All parcels need to have the waybill attached. 

These are just temporary measures as we work to get our warehousing & insurance needs sorted.  

Returns, Exchanges & Refunds

Should a product need to be returned/refunded/exchanged due to faulty/damaged/incorrect/missing at the hands of the supplier

  • Jislaaik will make the necessary arrangements to collect the item/s from the client if applicable
  • Jislaaik will make the necessary arrangements to get the replacement item/s delivered to the client if applicable
  • Jislaaik will handle all communication with the client regarding the return/exchange
  • Jislaaik will handle all communication with the supplier regarding the return/exchange
  • The supplier will be liable for the following:
    • Courier fees to collect item/s
    • Courier fees to deliver replacement item/s
    • Fees to replace the damaged/incorrect/missing item
  • Where a refund is applicable, the supplier will be required to refund Jislaaik and Jislaaik will then refund the client in full including original courier fees (where applicable)
  • Jislaaik will provide the supplier with an invoice for all fees incurred which will be payable by the supplier

Should a product need to be returned/refunded/exchanged due to faulty/damaged/incorrect/missing at the hands of the courier or Jislaaik

  • Jislaaik will make the necessary arrangements to collect the item/s from the client if applicable
  • Jislaaik will make the necessary arrangements to get the replacement item/s delivered to the client if applicable

  • Jislaaik will be liable for the following:

    • Courier fees to deliver replacement item/s
    • Fees to replace the damaged/incorrect/missing item
  • Where a refund is applicable,Jislaaik will be required to refund the client in full including original courier fees (where applicable)

Jislaaik as a standard does not take out insurance on deliveries but can be requested if needed. This will however change in the future with/without notice.

Photographs (stated in the packaging section) will be required in the event of a replacement/refund – these photos should be emailed to Jislaaik before such an event takes place. 

Payment Options:

Jislaaik currently offers 2 payment arrangements:

  • Per Order
    • Payment will be made to the supplier before/after the courier collects the parcel (regardless of where stock is kept)
    • Payment will only be made on receipt of a correct invoice from the supplier
    • Proof of payment will be emailed to the supplier
  • Monthly
    • Payment/s will be made to the supplier at the end of each month
    • Payment/s will only be made on receipt of correct invoice/s from the supplier
    • One invoice for each order needs to be issued to Jislaaik
    • The invoices can be submitted to Jislaaik immediately but no later than the 20th of every month. Invoices received after the 20th of each month will only be paid the following month at the end of the month
    • Proof of payment/s will be emailed to the supplier
Advertising Methods

Jislaaik uses different forms of digital marketing to advertise the brand, the online shop, our collaborations, all products & our suppliers. 

By continuing with the supplier application, the supplier agrees and gives permission that Jislaaik may use any content from the supplier’s website and/or social media platforms for marketing and other purposes.

Specials, Promotions & Giveaways

Jislaaik will run Specials, Promotions & Giveaways from time to time and suppliers will be contacted accordingly.

It is not mandatory to participate in any of these – but it would be preferred as it will assist in gaining more exposure and increasing sales.

Changes

The supplier will need to keep Jislaaik up to date with any new items so that it can be listed on the shop at the discretion of Jislaaik. 

The supplier is responsible for advising Jislaaik on the following in due time:

  • Price changes
  • Out of stock items
  • Lead/manufacturing times/delays/issues
  • Discontinued items
  • Out of office/holiday dates & times

Should any of the changes not be communicated to Jislaaik at the time of a purchase, the supplier will be held liable to honour the price/delivery as agreed upon.

Costs

You won’t have to pay us anything!

Some benefits you’ll get from signing up with Jislaaik:

  • No admin fees
  • No subscription fees
  • No joining fees
  • No product listing fees
  • No contract fees
  • Unlimited amount of products can be listed (subject to approval)
  • Jislaaik handles everything from listing to delivery*

*excludes unique products that require abnormal courier service and certain returns

Jislaaik charges a standard fee of 20% of the retail price per product that is sold via Jislaaik. Jislaaik sells the product at the same price which the supplier sells at. 

Currently Jislaaik makes use of Payfast, EFT and Zapper to collect payments from clients Jislaaik will cover all the financial transaction costs associated with each order. 

Images

Jislaaik requires the following with regards to images:

  • High resolution images of each product’s Front | Side(s) | Back if possible
  • White/clean background – preferred
  • Clear photographs
  • Products in a scene – optional but preferred 

Avoid the following:

  • Image Filters/Effects
  • Timestamps/Watermarks/Logos
  • More than 1 product per photograph
  • Busy background/ High contrast
  • Unrelated props/Mannequins
